Job Summary

The Recruiting Systems & Operations Specialist is responsible for managing and optimizing recruitment technology platforms, workflows, and reporting to enhance talent acquisition efficiency. This role supports system administration, troubleshooting, data analysis, and process improvements for recruitment operations. The Recruiting Systems & Operations Specialist collaborates with HR, IT, and Talent Acquisition teams to ensure seamless system functionality and compliance with hiring processes.

Essential Functions
  • Administers and maintains recruiting systems, including applicant tracking systems (ATS), candidate relationship management (CRM) tools, and reporting dashboards.
  • Supports process optimization and system enhancements to improve the efficiency of recruitment operations.
  • Troubleshoots and resolves technical issues related to recruiting platforms, working with HRIS and IT teams as needed.
  • Develops and delivers training materials and user guides for recruiters, hiring managers, and HR staff on system usage and best practices.
  • Generates and analyzes recruitment metrics, providing insights and recommendations for process improvements.
  • Partners with vendors and internal stakeholders to implement system upgrades, integrations, and new functionality.
  • Assists in managing system permissions, user roles, and security settings for recruitment tools.
  • Collaborates with Talent Acquisition leadership to streamline workflows, automate processes, and enhance the candidate experience.
  • Performs other duties as assigned.

Qualifications
  • Bachelor's Degree in Human Resources, Business Administration, Information Systems, or a related field required
  • 3-5 years of experience in recruiting operations, HR technology, or applicant tracking system administration required
  • 1-2 years of experience with data analysis, reporting, and process improvement in a recruiting or HR setting preferred
  • Experience with system implementations, integrations, and optimization projects in HR or talent acquisition preferred

  • Strong understanding of recruitment processes, applicant tracking systems, and HR technology.
  • Proficiency in data analysis, report generation, and process optimization.
  • Excellent troubleshooting and problem-solving skills for HR system-related issues.
  • Strong communication and training skills to support end-users and system adoption.
  • Ability to manage multiple projects and deadlines in a fast-paced environment.
  • Knowledge of compliance and data security regulations related to recruiting systems.
  • Proficiency in Microsoft Office Suite, HR analytics tools, and system administration best practices.
