Job Summary

The Medical Assistant - Urgent Care Center serves as the first point of contact for patients and visitors in a fast-paced clinical environment. This role is responsible for patient registration, insurance verification, scheduling, and collecting payments, while ensuring a positive and professional patient experience. The Patient Services Representative supports the daily operations of the urgent care center through effective communication, customer service, and administrative accuracy.

Essential Functions
  • Greets patients and visitors promptly and professionally, ensuring a welcoming and courteous environment.
  • Registers patients by verifying demographic, insurance, and financial information accurately and efficiently.
  • Collects copays and balances, posts payments, and provides receipts in accordance with facility protocols.
  • Schedules follow-up appointments and coordinates referrals as directed by clinical staff or providers.
  • Answers multi-line phones, responds to patient inquiries, and routes calls to appropriate departments.
  • Ensures all required forms, consents, and documents are completed and scanned into the electronic medical record (EMR).
  • Verifies insurance eligibility and obtains necessary authorizations or referrals as needed.
  • Maintains the cleanliness and organization of the front desk, waiting area, and shared workspaces.
  • Communicates effectively with clinical and non-clinical team members to support efficient patient flow.
  • Maintains confidentiality of patient information in accordance with HIPAA and organizational policies.
  • Performs other duties as assigned.
  • Complies with all policies and standards.
Qualifications
  • 1-2 years of customer service, administrative, or healthcare front office experience preferred
  • Prior experience in a clinic, urgent care, or physician office setting preferred
Knowledge, Skills and Abilities
  • Strong customer service and interpersonal skills in a fast-paced setting.
  • Ability to accurately collect and enter data with attention to detail.
  • Proficient in the use of EMR systems, scheduling tools, and basic office software.
  • Knowledge of insurance verification and medical billing procedures.
  • Excellent verbal and written communication skills.
  • Ability to multitask, problem-solve, and remain calm under pressure.
